SmartReceiving

Privacy Policy

Effective November 3, 2026

The short version

  • We collect only what the app needs to record your store's deliveries.
  • Only people in your store can see your store's data.
  • No ads, no tracking across other apps, and we never sell your data.
  • You can delete your account and data at any time, right in the app.

1Who we are

SmartReceiving is an app that helps stores check in vendor deliveries: reading invoices, counting what arrived, and keeping a record of shortages and credits. It is made by Shakeel Anjum in Louisville, Kentucky, USA. In this policy, "we" and "us" mean the developer of SmartReceiving, and "you" means anyone who uses the app or this website.

2What we collect

InformationWhy we need it
Account details: your email address, name, and password (stored only in scrambled form)To sign you in and show teammates who did what
Store and team details: store name, team members, their roles, and invite codesTo let owners and managers run their team
Invoice photos and what is read from them: vendor, invoice number, items, quantities, prices, and totalsTo check deliveries against the invoice
Receiving records: counts, scanned barcodes, case sizes, shortages, claims, and creditsTo keep an accurate record of each delivery
Delivery photos and notes, plus who finished each delivery and whenProof of what arrived, for your managers
Driver name and signature, when you ask the driver to signProof the driver saw any shortage
Subscription details: whether your store's plan is active, and billing datesTo give paying stores access

The app uses your phone's camera only while you are taking a photo or scanning a barcode. It does not read your photo library or use your microphone, and it does not collect your location, contacts, or advertising ID.

If your phone loses signal, the counts you make are kept on the phone for a short time and sent as soon as it reconnects.

Card details are entered on Stripe's secure payment page and stay with Stripe. We never see or store your full card number.

This website does not use cookies, analytics, or tracking.

3How we use it

  • To run the app: saving deliveries, showing reports, and keeping your team in sync.
  • To read invoices and count items in photos automatically (see section 5).
  • To manage your store's subscription.
  • To answer your emails, and to send account emails such as sign-up confirmation and password reset.
  • To keep the app secure and fix problems.

We do not use your data for advertising, and we do not sell or rent it to anyone.

4Who can see your data

Each store's data is walled off from every other store. Only people who belong to your store can see it, and what they can do depends on their role: for example, only owners and managers can invite people or delete finished deliveries.

5Services we rely on

We use a small number of trusted companies to run the app. They process data only to provide their service to us.

  • Supabase stores the app's database, photos, and sign-in accounts, on servers in the United States (Oregon).
  • OpenAI reads invoice photos and counts items in delivery photos. Photos are sent to OpenAI's API only when you ask the app to read or count. Under OpenAI's API terms, this data is not used to train their models by default.
  • Stripe handles subscription payments. Stripe receives the store owner's email, card details, and billing address, and processes them under its own privacy policy.
  • Apple distributes the app through the App Store and TestFlight.
  • Cloudflare hosts this website, and Apple iCloud handles our support email.

We may also share information if the law requires it, or to protect the safety of our users or the public.

6How long we keep it

  • Invoice and delivery records (items, counts, prices, shortages and credits) are kept for as long as your store's account is active, so you keep a full history for your books and reports.
  • Photos (invoice photos, delivery photos and shortage photos) are kept for 3 years, then deleted automatically. The records themselves stay.
  • Unfinished leftovers: invoice photos that were never read are deleted after 1 day, and photos from deliveries you discard are deleted within a day.
  • When you delete your account in the app, your personal information is deleted right away. If you are the only person in your store, the store's records and photos are deleted too. Where the law requires us to keep something (for example, payment records), we keep only that.

7Keeping it safe

Data is encrypted while it travels between your phone and our servers. Photos are stored privately and are never public, and database rules check every request against your store and role. No system is perfectly secure, but we work to protect your information and will tell affected users about any breach as the law requires.

8Your choices

  • You can see your account details and change your password on the Account screen in the app.
  • You can delete your account and data at any time from the Account screen in the app. Here's how.
  • You can ask us for a copy of your data, or to correct it, by emailing us (section 11).
  • You can turn off camera access at any time in your phone's Settings. Scanning and photos will stop working until you turn it back on.

Depending on where you live, you may have more rights under local law. We will honor them.

9Children

SmartReceiving is a tool for businesses and is not meant for children under 13. We do not knowingly collect information from them.

10Changes to this policy

If we change this policy, we will update the date at the top. If a change is significant, we will let you know in the app before it takes effect.
